5. Recruitment and candidate disclosures
If you apply for a role or join our talent pool, you consent to Team Hatch reviewing and assessing your information for recruitment and talent-matching purposes.
Where relevant to an opportunity, we may share selected candidate information with a prospective or current client. This may include:
- name and contact information;
- CV, work history, education and qualifications;
- skills, portfolio and work samples;
- interview notes, assessments and availability;
- reference or background-check outcomes where authorised; and
- other information reasonably required for the client to assess suitability.
We will not intentionally disclose sensitive candidate information to a client unless it is relevant, lawful and reasonably necessary, or the candidate has consented.
Clients receiving candidate information must use it only for legitimate recruitment, engagement and workforce-management purposes and must protect it from unauthorised use or disclosure.

- prospective and current clients;
- candidates and offshore team members where required to coordinate a service;
- Team Hatch staff, contractors and recruiters;
- Employer of Record, payroll and compliance providers;
- recruitment, applicant-tracking, CRM and project-management platforms;
- cloud hosting, storage, email, document and collaboration providers;
- payment processors, banks and accounting providers;
- scheduling, video-conferencing, transcription and meeting-note providers;
- analytics, marketing and communications providers;
- identity, reference and background-check providers;
- AI and automation service providers used to support our operations or deliver an agreed service;
- insurers, accountants, lawyers and other professional advisers;
- government bodies, regulators, courts and law-enforcement agencies where required or authorised by law; and

Team Hatch operates across Australia and the Philippines. We are likely to disclose personal information to recipients in the Philippines, including recruiters, candidates, contractors, team members, clients and service providers involved in recruitment and service delivery.
Some technology and professional service providers may store or process information in other countries, including the United States, Singapore and countries where their infrastructure, support teams or subprocessors operate.
The countries involved may change as providers change their infrastructure or subprocessors. Where required, we take reasonable steps to ensure overseas recipients handle personal information consistently with applicable Australian privacy requirements.
By using our services or providing information for recruitment or offshore service delivery, you acknowledge that information may be disclosed overseas as described in this policy.
8. AI and automated tools
Team Hatch uses AI and automation tools to help with tasks such as drafting, summarising, organising information, workflow automation, content creation and service administration.
We may also use tools to assist human-led candidate screening, matching or prioritisation. We do not intend to make final hiring or placement decisions solely through automated processing. Final decisions involve human review by Team Hatch, the client, or both.
We take reasonable steps to limit the personal information provided to AI systems, use appropriate business settings where available, and avoid entering unnecessary sensitive information.
Clients remain responsible for ensuring they have authority to provide any personal information included in materials submitted for an AI or automation service.
9. Direct marketing
Where permitted by law, we may send information about Team Hatch services, resources, events or updates.
You can opt out at any time by:
- using the unsubscribe link in an email;
- replying with an unsubscribe request; or

We will action valid electronic marketing opt-out requests as required by law. Service messages relating to an active enquiry, application, contract or engagement may still be sent where necessary.

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
