Getting started

How to choose your first offshore hire in the Philippines

Start with a recurring piece of work that is slowing your business down, then hire for the skills it needs. Social media, graphic design, video editing, admin and bookkeeping are different jobs. Your first offshore team member needs a clear role, not your entire to-do list.

If the videos are waiting to be edited, the inbox is piling up and the books need attention, it is tempting to write a job ad for someone who can do all of it. That is less a role and more a cry for help. Understandable, but hard to recruit for.

Team Hatch helps Australian businesses hire remote team members in the Philippines. The useful starting question is: which part of the work would make the biggest difference if someone else owned it?

Do a five-day workload audit

For one normal working week, record the tasks you actually do. Include the small interruptions. A ten-minute job that appears six times a day deserves a place on the list.

  • Task: what did you do, and what was the finished result?
  • Frequency: daily, weekly, monthly or a one-off backlog?
  • Time: roughly how long did it take, including corrections?
  • Inputs: what information, access or decisions did it need?
  • Handover: could another person finish it with an example and a clear brief?

Group the tasks by skill. Editing reels and designing social graphics are related, but they still need different evidence of ability. Reconciling accounts belongs in a separate group. Keep commercial decisions, sensitive approvals and work that depends entirely on your expertise with the right decision-maker.

Match the bottleneck to a role

Customer support and lead generation are other possibilities. Check whether you need someone available at set times or whether work can be briefed and returned asynchronously. That distinction matters as much as the job title.

Check whether the work is ready to hand over

Take one task from your highest-priority group. Put the input, a good finished example and the acceptance criteria in one folder. Ask a colleague to read it without your explanation. The questions they ask show where your instructions need work.

A task can be a strong candidate for delegation even if you have never documented it. Record yourself doing it once, explain the judgement calls, and turn the recording into a short checklist. You do not need a 90-page operations manual before making your first hire.

If you cannot yet explain the outcome or there is no repeat workload, narrow the project first. Hiring someone does not automatically decide your marketing strategy, clean up conflicting priorities or create work for them.

Copy this one-page role brief

Role: [one primary function]

Why we need it: [the recurring bottleneck]

Regular outputs: [deliverables and frequency]

Tools: [software used and access needed]

Good work looks like: [quality, accuracy and turnaround expectations]

Working arrangement: [hours, overlap and communication]

Decisions they own: [what they can complete independently]

Approval needed for: [publishing, spending or sensitive decisions]

Outside this role: [work requiring another specialist]

For example, a video editor might turn approved recordings into captioned clips and organise the source files. Filming every video, owning the full marketing strategy and running bookkeeping do not quietly become part of that brief.

Choose the amount of support

Hatch Flex and Hatch Hire solve different workload problems. Flex is task-based support for 20 hours a month per offshore team member. Hire helps you recruit your own full-time or part-time team member for an ongoing role. Both need a workable brief.

Start with the workload you have now and the capacity you can responsibly support. Add firepower to your Australian team without pretending one person should cover every function.

Bring the work, not a perfect job description

You can send Team Hatch a brief with your task list, hours and budget, even if the job title is still unclear. We can work through the role, assess candidates and help you choose a person whose skills fit the work. You remain responsible for priorities, access and day-to-day direction.
